Privacy policy

Updated September 16, 2026

Norsewood Homes operates Build-Ops to manage its construction projects and related business records. This notice covers Build-Ops, including its project, document, and QuickBooks integration features.

Information in Build-Ops

Build-Ops stores account names, email addresses, access permissions, project assignments, and sign-in records. Business records can include contact information, project addresses, schedules, original estimates, bids, invoices, payments, draw schedules, selections, messages, uploaded documents, photographs, and extracted document details. Uploaded images may contain capture-date metadata.

If an authorized administrator connects QuickBooks Online, Build-Ops receives an authorization token and company identifier. Depending on the enabled integration features, it reads company information, customers and jobs, vendors, account and item mappings, purchase orders, bills, invoices, and payment information needed for project accounting. Build-Ops does not ask for or store your Intuit password. Only Intuit handles the Intuit sign-in and authorization screen.

How information is used

Information supports construction project management, cost tracking, document organization, accounting reconciliation, access control, transactional email, troubleshooting, and recovery. The QuickBooks connection can read and, when enabled, create or update supported accounting records. Connection review mode pauses accounting imports and outbound accounting changes while the connection and mappings are checked.

When enabled, document and image scanning sends the uploaded material and relevant instructions or cost-code descriptions to OpenAI to extract information or suggest classifications. This may happen when supported documents or images are uploaded. Scanning results can be incomplete or incorrect and need human review. QuickBooks credentials are not sent to the scanning service. Build-Ops does not train a model itself on these records.

Access and service providers

Company administrators control access through app roles and project assignments. Authorized users can see the information permitted by those settings. Selected documents or project information can also be shared through client or trade-partner access links. People receiving those links should protect them.

Build-Ops uses OpenAI Sites and Cloudflare for hosting, application delivery, database and file storage; OpenAI for enabled document and image analysis and supported sign-in; Resend for transactional email; and Intuit for QuickBooks authorization and accounting services. These providers process the information needed to supply their services. Provider terms and privacy notices also apply to their services. Infrastructure and processing may operate in multiple countries; this notice does not promise storage in a single country.

Build-Ops does not include advertising trackers or a feature for selling project or QuickBooks records. Information may be disclosed where required by law or to investigate unauthorized access and protect the service.

Security, cookies, and retention

Build-Ops uses HTTPS, access permissions, secure session cookies, password hashing for app passwords, and encryption for stored QuickBooks access and refresh tokens. These measures reduce risk but cannot guarantee that every incident will be prevented. Session cookies keep users signed in, and browser storage may retain interface preferences.

Project and accounting records remain in Build-Ops until removed through the available controls or an administrator-assisted process. Some deletion actions archive or hide records instead of immediately erasing them. Recovery copies can retain earlier records and documents, including records subsequently removed from the active app. There is currently no automatic expiration period for recovery copies.

Disconnecting QuickBooks revokes the connection and stops further access through that connection; it does not erase existing Build-Ops records or backups and does not remove accounting records from QuickBooks. An app restore does not reverse transactions already written to QuickBooks.

Questions and requests

Contact Ryan Moore at ryan@norsewoodhomes.com for questions, corrections, access removal, export, or deletion requests concerning Build-Ops. Identity and authority may need verification before changes or disclosure. Retained accounting records, recovery copies, and applicable recordkeeping obligations must be considered when handling deletion requests. Changes to this notice will be reflected in its updated date.
